After Your Included Support Period

Payment Terms

Project Deposits

All Launch Page and Business Website projects require a 50% deposit before work begins. The remaining 50% is due before final launch, file handoff, or project delivery.

Website Care Billing

Website Care is billed monthly. Service begins after payment setup or the first monthly payment is received. Either party may pause or cancel monthly care with written notice before the next billing cycle.

One-Off Work

Small updates and one-off requests outside of a support window or care plan are paid upfront or invoiced with a minimum charge of $35.

Late Payments

If a final payment is not received by the agreed date, Maeva Digital reserves the right to pause delivery, delay launch, or hold final files until payment is resolved.

Project Scope & Changes

What Is Included

Each project package includes a defined scope outlined in the proposal. For Launch Pages, this typically includes one custom responsive page with up to five core sections. For Business Websites, this includes up to five designed pages with contact forms, basic SEO setup, and launch deployment.

Scope Changes

New pages, redesigns, new features, e-commerce systems, customer portals, dashboards, or large content changes are not included in the original package price. These are quoted separately before any additional work begins.

Additional Sections or Pages

Extra sections beyond the starter scope can be added for $50 - $150 each, depending on complexity. If the project grows significantly beyond a one-page scope, Maeva Digital may recommend upgrading to a Business Website package instead.

Rush Timeline

Rush turnaround fees apply when a compressed timeline changes the normal workflow. Rush fees range from $100 - $400 depending on project scope and timing.

Support & Care Boundaries

Launch Support Period

Launch Page and Business Website packages include 30 days of limited launch support for small fixes, handoff questions, and basic troubleshooting. This period begins the day the site goes live.

Website Care Limits

Website Care includes up to 30 minutes per month of support tasks such as small edits, status checks, reminders, and documentation updates. Unused time does not roll over to the following month.

Response Expectations

Maeva Digital responds during normal working hours. Website Care is not 24/7 emergency coverage unless separately agreed upon. Care clients receive priority response compared to non-care clients.

What Is Not Covered

Monthly care does not include new pages, major redesigns, new systems, large content rewrites, SEO campaigns, advertising, strategy work, or third-party account management. These are quoted as separate projects.

Client Responsibilities

To keep projects on schedule and ensure the best results, clients are expected to:

Provide final text, images, logo files, and brand guidelines in a timely manner. Provide domain access, hosting credentials, and any necessary account logins. Review designs and provide feedback within agreed timelines. Approve final designs before launch or deployment. Notify Maeva Digital of any renewal dates, domain changes, or third-party access updates.

Content Delays

If required content, approvals, or access are not provided within a reasonable timeframe, Maeva Digital may pause the project timeline. Work will resume once the needed materials are received.

Third-Party Costs

Domain registration, hosting, email services, plugins, stock photography, subscriptions, and other third-party tools are the client's financial responsibility. Maeva Digital can help with setup and guidance but does not cover these costs.

Cancellation & Refund Policy

Project Cancellation

If a client cancels a project after the deposit has been paid and work has begun, the deposit is non-refundable. The deposit covers the time already spent on planning, design work, and any materials prepared for the project.

Partial Completion

If a project is cancelled after significant work has been completed, Maeva Digital may invoice for additional hours beyond the deposit, based on the work delivered.

Website Care Cancellation

Monthly Website Care can be cancelled at any time with written notice before the next billing cycle. No refunds are issued for the current billing period. The client retains access to their website and any documentation provided during the care period.

Intellectual Property & Ownership

Client Ownership

Upon full payment, the client owns the final website files, content, and design assets created specifically for their project. This includes HTML, CSS, images, and any custom code delivered as part of the project.

Portfolio Rights

Maeva Digital retains the right to display completed projects in its portfolio, on the Maeva Digital website, and in marketing materials unless the client requests otherwise in writing.

Third-Party Assets

Stock images, fonts, plugins, and third-party tools used in the project remain subject to their original licensing terms. Maeva Digital will note any third-party dependencies in the project handoff documentation.

Privacy & Data

Information We Collect

When you submit a project request through maevadigital.com, we collect the information you provide: your name, email address, phone number, company name, project details, and any files you upload. This information is used solely to respond to your inquiry and manage your project.

How We Use Your Information

Your information is used to communicate about your project, send proposals and invoices, deliver project files, and provide ongoing support if you are a Website Care client. We do not sell, rent, or share your personal information with third parties for marketing purposes.

Data Storage & Security

Project files, client information, and uploaded documents are stored securely. Sensitive credentials such as passwords and account access details are handled carefully and documented only where appropriate for project handoff.

Cookies & Analytics

The Maeva Digital website does not currently use tracking cookies or third-party analytics. If this changes in the future, this policy will be updated accordingly.

Sensitive Access & Passwords

Maeva Digital only requests access credentials that are directly necessary for project work, such as domain registrar logins, hosting panels, or CMS access. Passwords are handled carefully and are not stored in casual notes or unsecured locations.

After project completion, clients are encouraged to update any passwords that were shared during the project. Access documentation provided in handoff notes is kept to the minimum needed for the client to manage their own website going forward.
